Every fuel record, read as it arrives

FuelScanner™ reads the record in whatever form it shows up. Mostly that means files: Excel, PDF and CSV exports from handler portals, data feeds and email, parsed as they come in. Sometimes the record is the ticket itself. Then it reads 32+ fields in under three seconds.

When the record is the ticket

A ticket image, read and structured in under three seconds

Most records arrive as files. Some arrive as the ticket itself: handwritten, printed, thermal, faxed, or a ramp photo taken in any phone's browser. FuelScanner™ reads those field by field. Anything it isn't confident about goes to one-click review, with the original right beside it.

The problem

Fuel records arrive in every shape

Tickets come by portal, email, spreadsheet, scan and file drop. Every station on its own rhythm, every source in its own layout. Somebody has to read all of it, key it in again, and chase the ones that never showed up.

Every source in a different shape

Portal exports, emailed spreadsheets, PDFs, scans. Each has its own columns and its own schedule. So the day fills up with chasing, and the coverage gaps go unnoticed.

Density vs. API swaps slip through

Manual entry mixes up lookalike fields. Density 6.87, API 44.5. One swap, and every figure downstream is wrong.

Ticket images re-keyed by hand

A sizeable share of uplifts still arrive as handwritten, faded or thermal tickets and ramp photos. Keyed in by hand back at the office, they bring wrong quantities, wrong flights, wrong dates, and a backlog of corrections.

A quiet station looks fine

A download can succeed and still be empty, or stale. Skip the daily check and the gap only shows up at month end.

End-to-end intake

From the airport ramp to the fuel accounting office

No new hardware, nothing to install. FuelScanner™ takes fuel records in the formats aviation fuel already uses, through the channels it already uses. A layout it hasn't seen before gets held for review. It is never guessed.

1

Arrive

Excel, CSV and PDF files from handler portals, data feeds and secure file transfer. Reports and attachments sent to one intake email address. Scans from any office scanner, and photos from any phone's web browser, iOS or Android.

2

Read

Files are parsed as they arrive. Ticket images get read field by field, 32+ fields in under three seconds, and any low-confidence field goes to one-click review next to the original.

3

Watch & hand on

Every feed gets checked daily. A quiet station is flagged, not trusted. From there each record goes through FuelCounter™'s four gates before anything posts.

Built for aviation

This is not generic OCR

The AI behind FuelScanner™ was trained on real into-plane fuel tickets, not generic documents. When it isn't sure, it asks a person.

Under three seconds a ticket

32+ structured fields from a ticket image in under three seconds. Handwritten, printed, thermal or faxed.

Unsure means reviewed

A low-confidence field goes to one-click human review with the original in view. It doesn't get posted quietly.

32+ fields per ticket

Net gallons, fuel temp, API gravity, density, ticket #, tail #, flight #, meter start/end, airport, FBO, supplier, date, time. And twenty more.

Files read, unknown layouts held

Excel, PDF and CSV exports are parsed as they arrive. A layout FuelScanner™ hasn't seen before is held for review and added on purpose, never guessed at.

Defuels and multi-hose meters

Defuels and multi-hose meter readings are read as exactly that. They don't get filed as errors, and they don't get lost in the noise.

Multi-ticket scans, handled

Several tickets on one scan? FuelScanner™ finds each one and splits the scan into separate records.

The field manifest

Part of the FuelDeck™ suite

One record, written once, across the suite

FuelDeck™ collects aviation fuel records, checks quantities and flight details, and delivers traceable data to the teams and systems that reconcile and account for fuel. FuelScanner™ is where every record comes in. The modules all read one record, written once, and validation is shared across the suite.

Questions

FuelScanner™, answered

Which formats and channels does FuelScanner™ take?
Files first: Excel (XLSX, XLS), CSV and PDF exports from handler portals, data feeds, secure file transfer and one intake email address. That is how the ticket data in production arrives today. Ticket images too: PDF, JPG, PNG, TIFF and HEIC, from any office scanner or from the web app in any phone's browser, iOS or Android. Nothing to install. A layout it hasn't seen is held for review rather than guessed. Native iOS and Android capture apps are coming late 2026.
How accurate is the extraction?
99.9% on the four required fields: fuel temperature, API gravity, density and net gallons. 32+ fields are read per ticket, in under three seconds. A low-confidence field goes to one-click human review with the original in view. Nothing is posted silently.
What if a ticket image is bad? Blurry, cut off, smudged?
FuelScanner™'s model was trained on real into-plane fuel tickets, not generic documents. It reads what it can. Whatever it is unsure of goes to a person, with the original next to the field.
What happens after a record is read?
It goes through FuelCounter™'s four gates before anything posts: your own field rules, flight identity against live departure data, a mandatory match to the airline's published schedule, and an anomaly screen against uplift history by route and aircraft type. A ticket that fails is held with the reason. See FuelCounter™.
How does pricing work?
Free to start, no credit card. Pricing is per ticket, with volume tiers, so the cost follows the work actually done. Nothing to install, no implementation programme to fund. Onboarding confirms your sources, stations and output formats, and the first tickets flow in through the intake channels you already have. Talk to us.
How do records leave FuelDeck™?
As A4A and IATA standard XML for fuel management and accounting systems, with per-customer mappings, plus CSV exports. The file that leaves is the ledger that was reviewed. VersoData™ answers plain-English questions over the same ledger; DutyCounter™ (coming H2 2026) and FuelTaxPRO™ (coming 1H 2027) will report from it.
How is my data isolated?
FuelDeck™ runs on Google Cloud. Each company's data is isolated per tenant. Access is role-based, privileged actions are audit-logged, and customer credentials are stored write-only and encrypted. TLS 1.3 in transit, AES-256 at rest. See the full security overview.
